01The challenge
Elation Fitness is a gym in Glasgow. It ran its bookings and memberships on a third-party platform that charged a yearly fee plus a share of payments, and wanted a system it owned, built around the way the gym actually runs.
Members, coaches and management each needed their own view of the business, and the gym's rules needed to be applied consistently without staff policing them.
- Replace a third-party booking platform with a system the gym owns and controls.
- Enforce the gym's real rules: class capacities, fixed small-group slots, cancellation windows and membership entitlements.
- Give members, coaches and management each the view they need, and nothing more.
02The solution
Booking rules live in the database itself rather than only in the app, so two people tapping "book" on the last space at the same moment can't both get it. An automated test suite checks those rules against a real database engine.
Members, coaches and management each get their own area with its own permissions. Coaches see every class and roster but no financial information.
Payments, memberships and email are handled by established services (Stripe and Resend), connected into one system rather than run as separate tools.
Elation Hub isn't an off-the-shelf product. It was developed from one gym's real operational needs, and the same foundations could support other gyms and studios through an implementation tailored to their own rules.

Features in the finished system.
Public timetable
Anyone can browse classes and memberships. An account is only needed to book.
Class booking
Capacity limits, waitlists that promote people automatically, and a cancellation window, all enforced by the system.
Memberships and payments
Several membership types and class passes with recurring billing through Stripe.
Simple sign-in
Members sign in with a one-time emailed code or their Google account. No password to forget.
Door access
Each member gets a personal door PIN that rotates daily, with opening hours enforced per facility.
Staff tools
Timetable management, class rosters, walk-ins, session feedback and an onboarding flow where management approves new members.
Team and reporting
Holiday and cover management, staff rotas, and sales reporting for management only.
Installable app
Members can add it to their phone's home screen and use it like an app.

What's different now.
- The gym runs bookings, memberships, payments and door access on its own system, used every day by members and staff.
- Class capacities, waitlists and cancellation windows are applied automatically, instead of relying on staff to enforce them.
- Door access follows membership: each member's PIN changes daily, and access stops if a payment fails.
